Sales Updates
Heather and a hotel partner spent a week at the TEAMS tradeshow in early October, during which they had appointments with over 20 events rights holders spanning all types of sporting events. We are working with several organizing companies, such as Ragnar Relay and Hero Rush, to finalize Saratoga Springs as a future location. This is the Bureaus second year attending this “must go show” in the sporting industry and we are seeing great success from our efforts. We have also had success in the Group Tour market and Heather recently spent two days visiting our New Jersey Group Travel neighbors. Heather and other NY State destinations were able to meet with 12 companies over the course of two days and these visits have generated additional interest in Saratoga as a tour destination. We have several hot prospects as a result of this and similar sales blitz trips, and will be planning a FAM tour exclusively for our group travel clients in the coming months.
It has been a very busy fall season as was expected, and the Convention Bureau is working to place groups in future dates to insure our future successes as well. Thank you to all of our partners who shared in the efforts of capturing two of our newly booked City Wide events, The Second Circuit Judges for June 2013 and The National Holstein Association for 2016. Contracts are in their final stages and the Judges bring over 1100 rooms to the area with over 600 people, and the Holstein Association brings over 1700 rooms to the area with over 400 people. In working with these clients, they could not be happier with what they have experienced in working with all the participating members who have made this all come together for them. We will be focusing on the 2012 budget and plans to attend trade shows that will provide us with more opportunities to promote additional City Wide events for our future. We will be qualifying possible shows that will offer us exposure in the Nanotech companies as well as the future technology potential in Solar Energies and other Tech interests developing in our area.
Mary Jo has been on the road introducing herself in her new position, Director of Convention Sales, to our local association market and will continue to reach out to all of our MPI and ESSAE membership. We have also developed a new incentive program for our meeting planners to submit qualified RFP’s directly to the bureau to receive a $25.00 visa card to use personally or to use as a giveaway at their event. This is a great incentive for the client and allows us to capture some new leads that planners may not have taken the time to submit in the past. We are working on a lot of great things here and please let Mary Jo know how she can be of assistance to all of you.
The NYS Association of Professional Land Surveyors are are currently seeking advertisers for our annual conference journal, and they are looking for any Convention Bureau members that would be interested in participating in a localized 3-5 page section of the journal to highlight things to do in the area while they are visiting Saratoga Springs. Many members bring their spouses and come a day early/stay an extra day after our event and will be looking for ways to explore the area. We are looking for business card, quarter page, half-page and full page size ads for this section. Advertising rates range from $65 - $250, depending on size.
To give you a little background, the NYSAPLS Annual Conference Journal & Membership Directory is a combination of our event program and a membership directory, approximately 125 pages in length. Close to 800 attendees will receive this program, use it the 3-days they are in town, and keep it as a reference all year for its directory information.

The group is also hosting a silent auction to benefit their scholarship fund once again this year. In previous years they’ve raised anywhere from $4,000 - $10,000 with the help of local vendor gifts. If any of the Convention Bureau members are interested in donating an item such as a local gift basket or gift certificate, please contact Amber Anderson at amber@nysapls.net. Thanks again!
Convention Services
Volunteers, Volunteers, Volunteers! October has been a great month not only for Conventions but for our volunteers as well.
NYS Cerebral Palsy Assn held their annual convention in Saratoga this month and we are very thankful for our volunteers who were able to assist them.
Call for Volunteers – if you have a little time where you could possibly work with one of our Convention Groups – please call Kathy Denkenberger today! We can always use additional assistance – kathyd@disccoversaratoga.orgor 584-1531. We would love to hear from you.
ESSAE – Best Practices– On October 7, 2011, Kathy Denkenberger joined 5 Convention Bureaus from NYS and participated in ESSAE’s October Program – this program was all about Best Practices that we all use. It was a very informative session and the information shared will assist all of us in our positions every day. Thank you ESSAE for inviting us to be part of this program.
Sales Teams Take a Tour– Sales team members from the Gideon Putnam Hotel, Saratoga Arms, Saratoga Hilton, Courtyard by Marriott, Saratoga Springs City Center and the Saratoga Convention Tourism Bureau participated in a “Tour of Saratoga” with none other than Dave and Charlie from Saratoga Walking Tours. Dave and Charlie enlightened the team members on the “Health, History and Horses” of Saratoga. We also toured the Saratoga Battlefield. This tour was just a sample of some of the many tours available in our area that we can promote to incoming convention groups. We learned so much and of course, we always like to add the 4th “H” to our slogan – “HOSPITALITY”. Thank you to all who participated and to Dave and Charlie – who always manage to “entertain”!
Saratoga County Chamber Business Showcase - Once again, the SCTB exhibited at the Annual Business Showcase. This is always a terrific opportunity to connect with our current members and to invite potential members to become a member of the SCTB.

This new location will have the same feel, aesthetic and vibe that it always has had, but now with more merchandise and a window to Broadway! AMTRAK'S WI-FI
In a major expansion of AmtrakConnect Wi-Fi service, passengers on a dozen East Coast routes now have access to the popular service.
The expansion covers the Northeast Regional, as well as the Empire Service, Keystone Service, Carolinian, Downeaster, Ethan Allen Express, New Haven −Springfield Shuttle and Vermonter. Four other routes —the Adirondack, Maple Leaf, Palmetto and Pennsylvanian —will also offer Wi-Fi, but only in select cars, which will be marked with hotspot window decals.
The latest move means nearly 60 percent of all Amtrak passengers now have the ability to connect to the Internet while on board. Installation is also currently underway for Wi-Fi on the California corridor services: the San Joaquin, Capitol Corridor and Pacific Surfliner. With the addition of these routes, 75 percent of Amtrak passengers will have access to on-board Wi-Fi before the end of the year.
Free Wi-Fi on these additional routes is another reason why a record 30.2 million passengers chose to travel on Amtrak, the preferred mode of transportation throughout the Northeast Corridor, over the past twelve months.
